Best AI virtual receptionist for clinics: 7 options
There is no single best AI virtual receptionist for every clinic: it depends on your software, the channel your patients use and what the provider says about data. With Doctoralia, Gesden or Clinic Cloud, look at digaclinic first; with DriCloud or XDentalCloud, Agendavia. This comparison is published by heydiga, which is one of the seven options.
David Zafra · · 15 min read

- Seven options, read on their own websites on 3 November 2026; prices in euros, with the VAT basis each one publishes.
- Every option has its drawback, heydiga included.
- Data protection is one more criterion: what each page says about servers, the data processing agreement and sub-processors.
- Before you sign up, ask for the agreement in writing and test with a sample calendar.
What criteria are used to compare AI virtual receptionists for clinics?
Five, chosen for what they take off a clinic team’s plate or leave on it.
- Channels. Whether it answers the phone, WhatsApp or both.
- Calendar. Which practice management software it connects to, and whether it books into your calendar or into one of its own.
- Total cost. The monthly fee, included and extra minutes, the setup fee, the line and messages, with the VAT basis.
- Data protection. What its page says about where the data is held, the data processing agreement and sub-processors.
- Clinical limits. What happens with an emergency or a medical question: whether it passes it to a person and whether it says it does not diagnose.
There is no score and no ranking: the order would depend on weightings that are yours to set. The options are in alphabetical order. Only what each page says is described; where it says nothing, that is noted.
Which AI virtual receptionists for clinics does AI cite in Spain?
Doctocliq, Clinicbot, ClinicSmart, Agendavia, HealthMate and Waiable: the providers with the most citations for this question, added up by domain, that have a Spanish-language page for clinics.
Between 20 October and 3 November 2026, Omnia measured which pages AI answers cite for “What is the best AI virtual receptionist for a clinic?”. By domain: Doctocliq 61 citations, Clinicbot 32, ClinicSmart 30, Agendavia 20, HealthMate 13 and Waiable 13. heydiga has 0 citations for this question: it is on the list because it publishes it.

Left out are Contestia (8 citations), whose website covers only WhatsApp and has no page of its own for clinics, and third-party lists, which are not a product.
What does each one do, with which calendar, and how much does it cost?
This is what each one says about itself, read on 3 November 2026.
| Option | Channels | Calendar | What it says about clinical limits |
|---|---|---|---|
| Agendavia | Phone. It does not handle WhatsApp, according to its page | DriCloud, XDentalCloud, Google Calendar, Outlook and AgendaPro; with other software, it depends on whether that software has an open API | No triage, diagnosis or clinical assessment |
| Clinicbot | Phone; WhatsApp is only for notifying the team | Its own calendar, Google, Cal.com and DocFav | Does not diagnose or give clinical advice; refers clinical or sensitive cases on. Its page does not describe an emergency protocol |
| ClinicSmart | Voice and WhatsApp | Google Calendar; other integrations, case by case | Its page does not describe how it passes a call to a person |
| digaclinic (heydiga) | Calls; conversational WhatsApp is an add-on | Doctoralia, Clinic Cloud, Gesden and Google Calendar | Does not diagnose or give clinical advice; identifies emergencies and passes them to a person on the team |
| Doctocliq (Soyla IA) | WhatsApp; its page does not cover voice | The Doctocliq calendar; other integrations, “we can assess” | Passes whatever is outside its scope to a person, with the context. Its page does not describe emergencies |
| HealthMate | Voice, WhatsApp and web | Its own calendar and patient records; does not detail external software | Hands over to reception with a summary and context when a person is needed |
| Waiable | WhatsApp and web widget. Voice is “coming soon”; today it handles missed calls | Google Calendar; other software is “checked during the audit” | “Does not give medical advice or improvise”; passes the conversation to reception. Its page does not describe emergencies |
| Option | Public price | Terms |
|---|---|---|
| Agendavia | €69 a month (1 practitioner, 180 minutes); €99 (up to 3, 270); €199 (up to 6, 550); €349 (unlimited, 950) | Excl. VAT. €290 setup fee, waived if your software already has a ready-made integration. Extra minute: €0.35. No lock-in, one month’s notice |
| Clinicbot | Free with €0.21/min; Pro €55 a month with €0.19/min | Does not say whether VAT is included. Line: €5 a month on the free plan. Setup done by them: €225. No lock-in |
| ClinicSmart | Esencial €129 a month (1 practitioner, 300 minutes, 1,000 WhatsApp messages); Clínica €229 (up to 4, 700 minutes, 3,000 messages) | Plus VAT. This is the “founder price”, a launch rate for the first 30 clinics that “will go up for new sign-ups”. Extra minute: €0.16 and €0.14. Onboarding at no cost. With your own WhatsApp number, Meta bills the messages. No lock-in, one month’s notice |
| digaclinic (heydiga) | Diga Lite €49 a month (200 minutes); Diga Start €99 (500); Diga Growth €169 (900); Diga Pro €279 (from 1,500). Conversational WhatsApp: €39 a month | Excl. VAT and no lock-in. Does not publish the price of an extra minute |
| Doctocliq (Soyla IA) | Not published on the Soyla page | Requires initial setup, according to its page |
| HealthMate | Starter €250 a month, up to 10 practitioners; €212.50 a month paid annually. Growth custom-priced | Excl. VAT. €700 setup with quarterly payment, included with annual payment. Renews every 3 months. Does not state call limits |
| Waiable | Starter €59 a month (1 practitioner, 1 WhatsApp number); Plus €99 (2 practitioners, up to 3 locations). Phone extension: +€29.90 a month with 300 minutes. Enterprise custom-priced | VAT included. 14-day trial, no card needed. No lock-in. Does not mention a setup fee; says “up and running in 1 day” |
The prices are not like for like: some include minutes, others charge for usage, some include VAT and others don’t, and some charge a setup fee. Always add up the monthly fee, the setup fee, extra minutes, the line and messages. They may change: before you decide, check each one’s page.
What does each page say about your patients’ data?
Very little, in almost every case, which is why it pays to ask for it in writing. This table only reflects what each page says; it is not an audit or legal advice.

The GDPR (Article 28(3)) says that processing by a processor shall be governed by a contract or other legal act. With health data, that contract is the first thing to ask for. What else to ask a provider is covered in how to handle calls and appointments in a clinic with one or several locations, so it is not repeated here.
| Option | Servers | Data processing agreement and sub-processors | Other statements |
|---|---|---|---|
| Agendavia | “Data is hosted and processed within the European Union”; Microsoft Azure in the Netherlands and Ireland. As an exception, support staff in the US may access it during an incident, under standard contractual clauses | Article 28 data processing agreement published; list of sub-processors published, with 30 days’ notice of any change | Audio is not recorded by default. “Your patients’ data is not used to train or fine-tune models”, nor by its providers |
| Clinicbot | Not stated; its policy only places Google Analytics data in the US | Its policy speaks generically of “a contractual relationship with a data processor”; does not mention sub-processors | “Data is processed in accordance with the clinic’s privacy policy and the GDPR”; says nothing about recordings or training models |
| ClinicSmart | Database in Frankfurt (Germany) | Article 28 data processing agreement included at sign-up; says it publishes the list of sub-processors. Some auxiliary providers process data in the US, under standard contractual clauses | Does not keep the audio, only the transcript and the summary. Says it has no ISO information security certification, no Esquema Nacional de Seguridad (ENS, Spain’s national security framework) and no third-party audit |
| digaclinic (heydiga) | Servers in the European Union | The agreement does not appear on its public pages. Its privacy policy does not list sub-processors | Encryption in transit and at rest; states Esquema Nacional de Seguridad medium category and ISO/IEC 27001:2022; only records if the business turns it on |
| Doctocliq (Soyla IA) | Not stated | Not mentioned | Its page says nothing about the GDPR or health data |
| HealthMate | Not stated | Not mentioned | Speaks of “guaranteed security and privacy” and “responsible processing of health data”; “advanced GDPR” only on Growth |
| Waiable | Not stated | Says it acts as data processor; does not offer the agreement on the pages read. Its policy lists categories of sub-processors, without names or regions | Treats health data as a special category (Article 9 GDPR); “clinical data does not travel over WhatsApp”. Says nothing about recordings or training models |
How to read the table: Agendavia publishes the data processing agreement and the list of sub-processors with their region. ClinicSmart describes the agreement and says it publishes the list, and it is the one that states plainly which certifications it does not have. For the rest, heydiga included, the agreement does not appear on the pages read.
On training models with the conversations, only Agendavia addresses it on the pages read. heydiga only says that it improves the service with anonymised or aggregated data.
Five questions to put to any provider in writing before you sign up:
- Will you give me the data processing agreement (Article 28 GDPR)?
- Where are the servers that store patient data?
- Do you publish the list of sub-processors and give notice of changes?
- Do you record call audio or only keep the transcript?
- Do you, or your providers, use the conversations to train models?
What is the drawback of each one?
Each one has one, and it is worth reading before the price.
Agendavia
It only answers the phone: its page says WhatsApp is not available. With software that has no connector or open API, it recommends Google Calendar or Outlook. You avoid the €290 setup fee if your software is already integrated. There is a trial of 30 minutes of conversation.
Clinicbot
Its calendar is its own, and its page does not detail any other clinic management software. Its WhatsApp does not serve patients. The page does not say where the data is held. The number of agents on the free plan does not match across its page: “1 agent” in the plan and “Up to 3” in the table.
ClinicSmart
The fee is quoted before VAT, so €129 becomes €156.09 at 21%, and it is a founder price that goes up for new sign-ups. A connection to management software only appears on the custom plan. Its page does not describe how it passes a call to a person. It does not have ISO information security certification or the Esquema Nacional de Seguridad, and it says so.
digaclinic (heydiga)
- Connection to your sector’s software and reminders by WhatsApp and by phone call are included from Diga Start. Diga Lite, at €49, does not include them (plan matrix on the pricing page, read on 3 November 2026).
- Conversational WhatsApp is a €39-a-month add-on, with 200 to 1,500 conversations depending on the plan.
- The pricing page does not say how much an extra minute costs. It does say that heydiga does not cut calls off and warns you before you reach the limit.
- heydiga does not publish the data processing agreement or the list of sub-processors. You have to ask for them.
- Only Diga Lite has a free trial button; on the other plans, you request a demo.
Doctocliq (Soyla IA)
Soyla handles WhatsApp, and its page does not cover calls. It works best with the Doctocliq calendar. It does not publish a price and its page does not cover data.
HealthMate
It is a clinic management platform with patient answering included, broader than a reception service. Its page does not detail which calendar software it connects to or how many calls are included, nor where the data is held or whether there is a data processing agreement. The €700 setup fee is paid on the quarterly plan.
Waiable
Its page says the voice agent is “coming soon”: today it detects missed calls and writes to the patient on WhatsApp. Its plans list a phone extension at €29.90 a month with 300 minutes, so it is worth asking what it does by phone today. It syncs with Google Calendar; for other software, you have to ask. It does not say where the servers are.
Which one suits your clinic?
It depends on the software your calendar lives in.
| If what you need is… | Look first at |
|---|---|
| For the appointment to land in Doctoralia, Gesden or Clinic Cloud | digaclinic, the only one of the seven with a dedicated page for each |
| For the appointment to land in DriCloud, XDentalCloud or AgendaPro | Agendavia |
| To try it on the phone, paying only for usage | Clinicbot, the free plan |
| To handle WhatsApp and web, with a published price and no calls for now | Waiable |
| To handle only WhatsApp, with the Doctocliq calendar | Doctocliq (Soyla IA) |
| A management platform with patient answering built in | HealthMate |
| To have the data processing agreement and sub-processors published | Agendavia; ClinicSmart describes the agreement and says it publishes the list |
Why digaclinic comes first with Doctoralia, Gesden or Clinic Cloud: all three have a dedicated page on heydiga, setting out what it reads and writes in each. It is not proof of quality, and heydiga is an interested party.
How do you test one before signing up?
With a test calendar and made-up patients, the same test for every option. If you use your real calendar, sign the data processing agreement first.
| Case | What should happen |
|---|---|
| An appointment with a specific practitioner | It is written into their calendar, with the length of that visit |
| A change and a cancellation | They are made in the calendar and the slot is freed |
| A slot that has just been taken through another channel | It does not offer it |
| A question you have not loaded | It says so and passes it to a person |
| An emergency | It passes it on according to your protocol; it does not assess symptoms |
| The calendar does not respond | The appointment is left pending and it alerts a person |
Also compare the cost of a normal month with that of your busiest month: some charge per minute, others per message and others a fixed fee.
Where heydiga fits
It fits if your calendar is in Doctoralia, Gesden or Clinic Cloud and you want calls to end in an appointment booked there. The AI receptionist from digaclinic answers in a natural voice and books according to each practitioner’s and each room’s calendar. It passes emergencies and anything clinical to a person. It introduces itself as a virtual assistant from the very start.
- It connects to Doctoralia, Gesden and Clinic Cloud; there are more on the integrations page.
- For a dental clinic, see the dental clinics page.
- Plans and prices are on the pricing page, excluding VAT and with no lock-in.
Nothing to install, no change of software and no touching the clinic’s number. If it is not the right fit, use the table above: the criteria are the same.

Frequently asked questions
What is the best AI virtual receptionist for a clinic?
It depends on your practice management software. If the appointment has to land in Doctoralia, Gesden or Clinic Cloud, look at digaclinic; if your calendar is in DriCloud or XDentalCloud, Agendavia. Once the calendar is settled, compare the total cost and what each one says about data.
Do I have to change my phone number?
No, with the ones that say so. heydiga and Waiable keep the number you already have; Agendavia and Clinicbot work by forwarding calls from your number. With the rest, ask before you sign up. With ClinicSmart, on top of that, WhatsApp on your current number is billed by Meta.
Who is responsible for patients’ data?
The clinic, as controller, chooses who processes it on its behalf. Ask any provider for the data processing agreement in writing, heydiga included, and go over what it states with your data protection officer. This guide is not legal advice.
Does it give medical advice or decide whether something is an emergency?
It shouldn’t. The pages of heydiga, Agendavia, Clinicbot and Waiable say they do not diagnose or give clinical advice. Agree with your team which signs get passed to a person and test them before you start.
Can you tell it’s an AI talking?
You should be told. heydiga introduces itself as a virtual assistant from the very start, and Agendavia identifies itself as an AI at the start of every call. With the rest, ask about it in the demo.
